12. Cancellation and No-Show Policy
Cancellation & No-Show Policy
Your appointment time is reserved exclusively for you. Late cancellations and missed appointments prevent us from offering that time to another patient and directly impact our providers.
We require a minimum of 48 hours’ notice for all appointment cancellations or changes.
Appointments canceled with less than 48 hours’ notice or missed appointments (no-shows) will be charged a cancellation fee equal to the full cash rate of the scheduled visit, charged to the card on file.
Current Cancellation Fees:
- Initial Visit: $195
- Follow-Up Visit: $130
These fees are not billable to insurance and are the patient’s sole responsibility.
13. Payment Authorization, Insurance Responsibility, and Chargebacks
By purchasing services, scheduling appointments, or providing payment information through this Website or in person, you authorize Healing Journey Acupuncture and Wellness to charge applicable fees for services rendered.
If you provide insurance information, you acknowledge and agree that:
- You are responsible for all copayments, coinsurance, deductibles, and non-covered services as determined by your insurance carrier.
- Insurance coverage verification is not a guarantee of payment.
- You remain financially responsible for any balance not paid by your insurance provider.
You authorize us to charge your payment method on file for outstanding balances, copays, deductibles, cancellation fees, or patient-responsible amounts in accordance with your insurance explanation of benefits (EOB).
You agree to contact us directly to resolve any billing concerns prior to initiating a chargeback or payment dispute with your financial institution.
Initiating unwarranted chargebacks for services rendered may result in additional collection actions permitted under applicable law.

17. Package Expiration Policy
To support continuity of care and scheduling availability, our pre-paid treatment packages are intended to be used within a reasonable time frame.
Package Expiration Guidelines:
- 6-Visit Package: Valid for 3 months from date of purchase
- 10-Visit Package: Valid for 6 months from date of purchase
- 20-Visit Package: Valid for 12 months from date of purchase
Packages are designed to encourage consistent treatment and optimal clinical outcomes. Expiration periods help ensure treatment plans remain current and medically appropriate.
Unused visits do not automatically roll over beyond the expiration date. If you experience extenuating circumstances (medical, family, or other significant events), please contact our office prior to expiration so we can review your situation.
